Event Cancellation

Question for anyone. When your doing a lets say special event or a grand opening. And lets say they cancel the event how much in advance do you require tem to notify you. The reason I am asking is I am making a template of my special events contract and I would like to put this in there. And soes anyone charge them for cancellations except weather. I was thinking 48 hours advance notice. I hope I am not confusing anyone. Thanks jason

Hey Slick, Lets say you have a company call you and they want Dogs for 200 people. Think about when you have to buy the product and how long before you have to do the prep. If they call you 48 hours before and you already have 300 dogs bought and buns, all the condiments, and whatever. I would pick a lead time that you don't have any money dished out.............If the function is on a Friday and you do all the shopping on Thursday then its no big deal 48 hours is good......................Take care................Bill

Ok thanks but what if they call me on thursday night and cancell and the event is on friday. What is the penilty?

I would say a days lost wages. You may have turned down other events to do their event. My feeling is, don't make your problems my problems. It may also depend on the size of the event, or if its rescheduled. I would leave this open on each contract, depending on size of event.....................Bill

well this event is for a grand opening for a landscape company/ They sell rock and all kinds of products. They wanted 200 dogs and sodas and chips. I drew up a estimate and on the letter I included on the bottom of the letter stating rain cancellation no charge for reschedule. But Big Slicks requires a 48 hour notice of cancellation. Now I have not figured out what a days wages would be. I do require a 1/2 deposit prior to the event. Thats the issue. whats my days wages.

Hi Big Slicks, I'm not in HD biz yet, but I've built loft beds for people and I require 50% down to buy material and state once I buy material and start cutting it up, no refunds and I leave it at that. No problems so far with people changing their minds. I don't worry about a days' wages, just keep the deposit. Good luck. Randy

Yeah if you are asking for 50% down and they cancel, then keep the deposit. That is more than fair.

My policy below, 48 hours is plenty for me because I don't pick up items more than 48 hours in advance. Cancellations must be done a minimum of 48 hours before your scheduled event. If you have canceled within these guidelines, 100% of your deposit will be refunded. Cancellations made with less than 48 hours before a booked event will be prorated at half the deposit amount.
